Chosin Reservoir: The March of the Chosin Few (the “Organization,” “we,” “us,” or “our”), operating the Chosin Few Memorial Walk digital memorial and educational platform at chosinfew.org and chosinfewmemorialwalk.org (the “Site”), is a 501(c)(3) nonprofit organization. We are committed to protecting the privacy of our visitors, members, donors, tribute contributors, and walk participants.

This Privacy Policy describes how we collect, use, disclose, and safeguard personal information through the Site. By accessing or using the Site, you consent to the practices described in this policy.

Information We Collect

We collect information in the following categories:

  • Account information. When you create an account to participate in features such as submitting a tribute or logging walk progress, we collect your name and email address through our secure authentication system.
  • Tribute submissions. When you submit a tribute honoring a service member, we collect the submitter name, email address, relationship to the service member, the tribute message, and any photograph you choose to upload. Tributes are reviewed by our moderators before being published on the Site.
  • Walk the March participation. If you join the memorial walk challenge, we record your display name, mileage entries, optional notes, and participation category. You may choose whether your progress is publicly visible on our leaderboard.
  • Donation information. Contributions are processed through our third-party donation partner, Zeffy. We receive your name and email from Zeffy for the purpose of acknowledging your gift and issuing tax-deductible receipts. We do not collect or store your credit card or payment card details — that information is handled solely by Zeffy.
  • Contact form submissions. When you use our contact form or email us directly, we collect the name, email address, and message content you provide.
  • Usage and analytics data. We collect aggregated, non-identifying statistics about page views and site engagement to help us improve the Site and measure the reach of our educational mission.
  • Automatically collected data. Like most websites, our hosting platform may collect standard server logs, such as IP address, browser type, and referring pages, for security and site operation purposes.

How We Use Your Information

As a nonprofit educational and memorial organization, we use the information we collect to:

  • Provide, maintain, and improve the memorial, educational, and walk-challenge features of the Site;
  • Review, moderate, and publish tribute submissions in accordance with our editorial standards;
  • Track and display memorial walk progress and leaderboard standings as you choose;
  • Acknowledge donations and provide tax-deductible receipts as required by the IRS for 501(c)(3) organizations;
  • Respond to your inquiries, comments, and requests for support;
  • Send administrative notices, such as notifications that a tribute you submitted requires review or has been approved;
  • Understand how visitors use the Site so we can improve our educational content and outreach;
  • Protect the security and integrity of the Site and prevent abuse or fraudulent submissions.

We do not sell, rent, or trade your personal information. As a 501(c)(3) public charity, we may share donor acknowledgment information with the IRS as required by law, but we do not share your contact information for commercial marketing purposes.

  • Service providers. We use trusted third-party services to operate the Site — including our hosting platform, email delivery, and our donation processor Zeffy. These providers process information on our behalf and under appropriate contractual obligations to protect it.
  • Public content. Tributes you submit, and walk progress you mark as public, may be displayed on the Site for other visitors to view. Do not include sensitive personal information in content you intend to be public.
  • Legal compliance. We may disclose information when required by law, court order, or government regulation, or to protect the rights, property, or safety of the Organization, our users, or others.
  • Organizational governance. As a 501(c)(3), we may include donor recognition in annual reports or donor lists, but only with your consent or where required by transparency obligations. You may request to remain anonymous at any time.

Cookies and Tracking Technologies

The Site uses essential cookies and similar technologies necessary for authentication and basic functionality. We also use in-house analytics that aggregate page-view statistics without identifying individual visitors. We do not use advertising cookies or sell tracking data to third-party advertisers.

Donor Privacy

Children's Privacy

The Site is an educational and memorial resource and may be used by students and families. We do not knowingly collect personal information from children under the age of 13 without verifiable parental consent. A parent or guardian may submit a tribute or walk entry on behalf of a child, and may review, update, or request deletion of that information by contacting us.

If you believe we have inadvertently collected information from a child under 13, please contact us so we can promptly remove it.

Data Retention

We retain personal information only as long as necessary to fulfill the purposes described in this policy, to comply with our legal and tax-record obligations as a 501(c)(3) organization, and to resolve disputes. Donation records are retained for the period required by the IRS and applicable state law. Account and tribute data is retained for the life of the memorial unless you request deletion.

Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

  • Request deletion of your personal information, subject to legal retention requirements;
